The Operations Manager with Mental Health America Fredericksburg Region (MHAfred) is a full-time, exempt position, reporting to the Executive Director, with an hourly rate of $20 through $30; starting compensation will depend on documented education, experience, and recommendations. Within MHAfred’s regular hours of operation, 9 a.m. until 2 p.m., work is completed at the office, Monday through Friday. Work-related, out-of-office appointments would be scheduled after regular office hours. Any out-of-office appointments during regular office hours would need prior approval by the Executive Director to ensure office coverage. Additionally, all MHAfred employees may be asked to answer phones and are trained to handle MHAfred HELPLINE requests. Further, criminal and sex offender background checks with the Virginia State Police are required if offered a position – MHAfred pays the cost. MHAfred is a smoke, drug, and alcohol-free workplace. Drug testing is allowed under specified circumstances recorded in the Employee Handbook. There is a required 90-day probationary period from the date of hire. JOB DUTIES

Working at the Executive Director’s (ED) direction, the Operations Manager (OM) is onsite, ensuring each program has the required coverage and resources to execute deliverables. These responsibilities include but are not limited to: 

  • The scheduling of employees, volunteers, and interns to ensure coverage for all programs; additionally, making recommendations before the ED approves annual leave.
  • Daily verifying recording hours worked by employees and students who track hours for school requirements.
  • Verifying employees’ timesheets before submitting them to the ED for approval.
  • Filling in as needed for each program, for example, when a program coordinator is on leave or calls in sick.
  • Onboarding of newly hired employees.
  • Recruiting, Interviewing, onboarding, and supervising volunteers and student interns, ensuring this resource is optimized for meeting MHAfred’s deliverables while respecting the objectives and capacity of each person working. Additionally, supporting the Senior Visitors Coordinator’s oversite of volunteers for that program.
  • Process requests from staff for purchases, which includes obtaining quotes, verifying alignment with the approved budget, and making recommendations to the ED. Once the ED approves, the OM can procure items or services within established procedures.
  • For the approval of the ED, review submitted invoices and make recommendations for payment to contractors hired by MHAfred.
  • Work with the ED and MHAfred Finance Committee during the annual budget development, which will be submitted to the Board of Directors for approval.
  • Under the direction of the ED, research grant opportunities and complete grant applications. Additionally, track deliverables for all awarded grants and prepare required reports to funders for review and signature of the ED.
  • MHAfred paperless workflow using online software for communication, project management, tracking deadlines, and managing assigned deliverables. These are primarily Microsoft 365 products – Teams, Planner, SharePoint, Outlook, Excel, etc.; Also required is knowledge of other online resources to submit grants, manage fundraising campaigns, and other deliverables such as Unite Us for managing MHAfred HELPLINE.
  • MHAfred conducts continuous quality improvement within an agile work environment. The OM would meet weekly with the ED, to review and develop plans of action to resolve issues and address any late organizational tasks related to programs, bookkeeping, and grant deliverables, including open messages in SharePoint. The OM would support the appropriate staff person(s) to ensure that updates were completed.
  • Though other MHAfred insiders also work on social media; the OM is the main point of contact and coordinator of MHAfred’s social media sites such as the website (WordPress & Blue Host), Facebook, and Instagram.
  • Working with the ED and designated Board Members, to produce MHAfred’s marketing materials, which requires a working knowledge of Canva.
  • Point of Contact for the organization when the ED is on sick or annual leave. The point of contact does not convey authority to commit organizational resources needing the approval of the ED or the Board of Directors. If direction is required in the absence of the ED, contact either the President or Treasure of MHAfred’s Board of Directors.
  • At the direction of the ED, represent MHAfred at community events and partnerships, such as peer-fundraising opportunities, local community of practice (CoP) groups like suicide prevention, reduction harm committee, and national groups such as Mental Health America.   • Additional duties may be assigned by the executive director as needed. For example, all employees participate in fundraising-related responsibilities, are trained to represent MHAfred at community events, conduct other outreach that promotes programs, and maintain relationships with stakeholders.

Program Lead for Support Services, Suicide Prevention Education, and MHAfred HELPLINE:

  • Hire and supervise the director reports: Signs of Suicide Presenter and Office Support – MHAfred HELPLINE.
  • Coordinating with the ED, maintaining relationships with local schools and organizations to promote, market, and manage the relevant MHAfred services for youth, primarily Suicide Prevention Education but can include other services.
  • For Support Services – track hours needed toward Virginia certification and ongoing renewals for peer support specialists approved to conduct support groups for MHAfred – minimally, these peers must have completed the Virginia-approved training toward their certification. Maintain the scheduling of support groups and update availability through MHAfred social media channels. If MHAfred’s Board approves billing, the OM maintains required records and bills Medicaid for applicable Support Services.

REQUIRED EDUCATION AND EXPERIENCE 

Bachelor’s degree in business, finance, human resources, nonprofit studies, or social work focusing on organizational management, or a related field; post-secondary education is preferred. A minimum of three years of experience in each area: (1) supervisory and human resources experience with a nonprofit preferred, (2) grant writing with knowledge of budgeting and financial management, (3) program management, and (4) fundraising. A documented equivalent combination of education and experience will be considered.
